Choose an AI Tool by the Task, Not the Hype

You open an AI writing tool to summarize a long report, and it gives you a polished answer that leaves out the one caveat you needed. That gap is a useful reminder: choosing a tool should start with the task, not the product’s promises. A small, specific test tells you more than a feature list.

Name the job first

Write down the task in plain language: organize meeting notes, draft a first-pass email, or explain a technical term. Then decide what a useful result would look like and what mistakes would matter. This keeps you from comparing tools on features you may never use.

Try a realistic example

Use a low-risk example that resembles your real work, rather than a carefully chosen demo prompt. Check whether the result is accurate, easy to revise, and in the format you need. If the tool handles a routine task well but struggles with exceptions, account for the time you will spend checking it.

Check the boundaries

Before sharing material, review the tool’s privacy terms and your own organization’s rules; don’t assume sensitive information is appropriate to upload. For factual answers, trace important claims back to reliable sources instead of treating a fluent response as proof. Keep the tool only if it makes a defined task easier without creating more review work than it saves.
